Media Consent Policy

1. Purpose

At Children of God Christian Coaching CIC, we may occasionally take photographs, videos, or audio recordings during our events, workshops, or activities. These may be used for promotional, educational, or celebratory purposes across our website, printed materials, or social media. This policy outlines how we seek consent and use media responsibly, with a focus on protecting children’s privacy and dignity.

2. Our Commitment

We are committed to:

  • Always obtaining written consent before using any image or recording of a child
  • Clearly explaining how media will be used
  • Storing media securely and using it only for approved purposes
  • Respecting the right of parents and children to decline or withdraw consent at any time

3. How We Use Media

Photographs, videos, and audio may be used to:

  • Share updates and highlights from workshops or faith-based events
  • Promote the mission and activities of the organisation
  • Celebrate children’s learning, creativity, and participation
  • Provide materials for online courses or resources (with separate consent)

4. Consent Process

  • Parents/carers will be asked to complete a Media Consent Form when enrolling their child in any of our activities.
  • Consent will cover specific types of use (e.g., website, flyers, social media) and can be partial or declined entirely.
  • Children over age 12 may also be asked for their own understanding and assent.
  • No identifying details (full name, address, etc.) will be published alongside any image or video of a child.

5. Storage and Security

  • All media files are stored securely and only accessible by authorised team members
  • Files are retained only if necessary and are deleted upon request or expiry of consent

6. Withdrawal of Consent

Parents or carers can withdraw media consent at any time by contacting us in writing. In such cases:

  • We will stop using the child’s image/recording immediately in future materials
  • We will remove it from online platforms where possible

Please note: we may not be able to remove printed materials already in circulation.

7. Safeguarding Priority

  • No images will ever be taken in private spaces such as toilets or changing areas
  • All media use will reflect our Safeguarding Policy and uphold children’s dignity
  • Children will never be forced or pressured to be photographed or filmed
